The VAD-IMS application offers a robust set of features designed to help practitioners and pharmacists comply with VAD regulations. Key capabilities include practitioner registration, configurable modules aligned with each stage of the patient episode workflow, and comprehensive reporting for both patients and practitioners. Interactive dashboards provide real-time insights, while enterprise-grade data and user security ensure compliance and confidentiality. A dedicated training hub and resource centre further support effective onboarding and ongoing use, with additional tools designed to enhance clinical and operational performance.

Fully customisable low-code platform

VAD-IMS leverages the enterprise-grade, low-code platform OutSystems, which provides extensive flexibility of features to adhere to the unique requirements of the particular jurisdiction implementing VAD-IMS. The following features are representative of the core feature set, however, they can be easily changed or extended as required as part of the implementation.

Practitioner Registration

The practitioner registration process is flexible and customisable to fit organisational IT needs. Practitioners can self-register or be registered by authorised users. The registration process covers their eligibility and completion of training. The system also integrates with Learning Management Applications to manage training.

Authorised practitioners gain secure system access, with role-based patient data access, based on their involvement in the care.

Workflow

VAD-IMS contains core modules form the workflow of a patient episode. Each module can be configured to align with the specific legislative requirements, protocols, and practices of individual healthcare systems.

Request and assessment
  • Enables request completion, signing, interpreter management, and submission within required timeframes

  • Practitioners assess eligibility, record data, capture outcomes, and manage referrals

  • Allows downloading/uploading of signed Patient Declarations

  • The steps are customisable to legislative requirements.

Administration decision
  • Where applicable records patient administration decision

  • Records the revocation of a decision on behalf of the patient and any workflow actions as result of a revocation.

Contact person appointment (optional)
  • Where applicable records contact person appointment and change of contact person.

Permit / substance authority (optional)
  • Where applicable allows for a review of the request and assessment submissions by authorised users

  • Provide an authorisation or rejection to proceed to prescribing the substance.

Prescription, supply and disposal of substances
  • Records details of prescription, sending of prescription and acknowledgment of prescription receipt

  • Authorised pharmacists record details of the supply and disposal of substances.

Notification of death
  • Records Notification of death including the details of death and witness declarations (where applicable).

Patient care and support

For nurses and health professionals supporting patients and their families navigating the Voluntary Assisted Dying process, VAD-IMS contains a patient care module. This includes tracking patient service interactions, information requests, time spent on support services, assistance provided, follow-ups, and related activities.

Practitioner and patient reporting

VAD-IMS features comprehensive reporting and dashboard capabilities designed to support informed decision-making and efficient care delivery. All authorised users have access to role-specific dashboards, offering a clear and tailored view of relevant information. The system provides a range of reports:

  • Patient reports to provide applicant details, demographics, episode summaries, details of death, patient activity and longstanding outcome reports

  • Substance reporting to enable oversight of prescriptions, substance supply and disposal

  • Practitioner reports to monitor application timeframes, compliance with legislative timeframes, case load and training status.

Autosave:

Forms autosave, allowing users to resume without losing any data or progress.

Notifications:

Fully customisable notifications and announcements can be configured as emails, in-app notifications and SMS.

Prepopulated data:

Automatically fills in patient and practitioner info, linking data across episodes and reducing manual data entry.

Manual submissions & corrections:

Authorised users can upload forms and make technical corrections for business continuity and compliance.

Notes:

Add notes with attachments to patient episodes, assigned to specific steps with restricted access.

Unauthenticated submissions:

Practitioners can complete forms and upload documents with wet signatures without being registered.

Feedback and complaints:

Authorised users can submit feedback or complaints, anonymously or on behalf of others.
